Comparison

Fynso vs your CRM's built-in AI

Booking systems and CRMs now include AI that answers calls and texts, books appointments and follows up on leads, set up and managed inside the software you already pay for. Fynso is a revenue engine our team sets up and runs on top of that same system: every new lead called and texted, first visits booked, old leads brought back, and results you can see location by location.

Short answer

If your booking system's AI covers what you need and someone on your team has time to set it up, watch it and tune it, use it: it lives where your bookings already are. Fynso is for owners who want that work taken on.

Who should choose Fynso?

  • You want lead follow-up, booking and win-back run for you, not another set of AI settings for your team to manage.
  • You run several locations and want one standard, one record and results checked against your own booking records.
  • You are planning the next opening and want it to start with the engine already working.

Who should choose Your CRM's built-in AI?

  • Your booking system's AI already covers your gap, such as missed calls and questions, and it comes with a plan you pay for.
  • Someone on your team has the time to set it up, review conversations and tune it at every location.
  • You want everything, including the AI, inside one piece of software and one vendor relationship.

How do you get started?

  1. Book a demo and confirm your system

Tell us which booking system or CRM each location uses and which AI features you have turned on. We confirm the connection and show you the engine working on a business like yours.

  2. Agree who owns each workflow

If you keep your built-in AI for incoming calls and questions, we agree which tool contacts which lead, so no customer hears from both.

  3. Launch location by location

We launch one location, read its results with you against the baseline, then roll the engine out to the rest.

What is the difference between Fynso and your CRM's built-in AI?

Most booking systems and CRMs now sell AI that answers calls and texts, books appointments and follows up on leads. It lives inside the software, and it is set up and managed in that software's settings. Fynso is a revenue engine our team sets up and runs on top of the system you already use. We call and text every new lead inside the hours each location approves, book the first visit against real availability, bring old leads back and show you the results by location.

The difference is who is responsible. With built-in AI, the vendor supplies the feature, onboarding and support, and your team typically owns how it performs at each location. With Fynso, our team owns the setup, the running and the results review.

What does built-in AI do, according to the vendors' own pages?

It varies by vendor and plan. A few examples:

  • Mindbody's AI Concierge follows up on missed calls, answers questions over text and webchat, and books, reschedules and cancels in Mindbody. It is included in the Mindbody Ultimate plan, and the page says most businesses can start the same day.
  • Zenoti's AI Receptionist answers missed and after-hours calls, books by voice or text and tracks results per location on a performance dashboard. Zenoti's pricing page says its AI agents require the AI Plus package and that multi-location pricing is customized.
  • ABC's AI Agents include a Front Desk Agent and a Sales Agent that follows up by phone, text and email until a lead books or opts out, built into ABC Ignite Sales and GymSales.
  • HubSpot's customer agent, one of its Breeze agents, answers questions across chat, email and voice and costs $0.50 per resolved conversation on Professional and Enterprise plans. HubSpot's help article says a user with an assigned seat and editor permission creates and manages it.
  • Podium's AI Employee responds to new leads, books on your calendar and re-engages past customers. Podium's settings guide says account owners manage some options, and Podium Support changes others, such as lead follow-up.

These are real capabilities, and some are included in plans you may already pay for.

What does Fynso take on?

Our team connects your booking system, approves the wording, hours and rules with you, tests every path and measures where you start. Then we run it.

When a new lead comes in, Fynso calls and texts inside your approved hours, books into the location's real schedule, sends the confirmation and hands the conversation to a person on your team with the full history when one is needed. It also brings back past leads who never booked. Every step is recorded, and bookings are checked against your booking system. Fynso reports what it did and the bookings it confirmed.

Missed-lead and no-show rebooking, member win-back, location comparison and revenue by location are built during your setup, with dates in your plan. Our team watches it, fixes problems and runs improvement tests, works with you through a named Fynso operator, and you get a results review every month. You can also ask Fynso questions about your business in plain language and get answers with the numbers behind them.

Can you use both?

Yes, as long as each lead has one owner. A common split is the built-in AI for incoming calls and questions, and Fynso for proactive follow-up on new and old leads. We agree that split with you before launch so no customer hears from both. Your booking system stays your system of record.

Which is right for a multi-location business?

If your booking system's AI covers your gap and someone on your team has the time to manage it at every location, use it. If you want the follow-up taken off your team's plate, one standard across every location and results you can compare before you open the next one, Fynso fits better. What else do owners ask?

Does Fynso work with my booking system or CRM?

Fynso works on top of the booking system or CRM you already use and connects it during setup. ClubReady is connected today. For any other system, tell us what you use and we will confirm it on the demo.

Do I have to turn off my booking system's AI?

No. Many owners keep it for incoming calls and questions and let Fynso run proactive follow-up on new and old leads. We agree which tool owns each lead before launch so no customer is contacted twice.

Isn't built-in AI cheaper?

Sometimes it comes with a plan you already pay for, which is a real advantage. Compare the full picture: the plan or add-on, the staff time to set it up and manage it at every location, and who is responsible for results. Fynso publishes its pricing, from $399 per location a month plus a one-month launch fee.
